These operators explain how they have used the technology to increase efficiency in anything from transaction times to staff rostering. 

 

Gordon’s Wine Bar saves with Square

 

Heritage London venue Gordon’s Wine Bar was experiencing integration issues for its existing contactless payments with ordering, devices and product information, which business manager Amanda Whiteside says created “efficiency bottlenecks”.

 

It partnered with Square to bring in one fully integrated platform, with payments, ordering and product information in a single place. The online shop, which connects the website with Square’s EPoS, has opened a fresh revenue stream and lets managers see what’s selling well online and on-site, with real-time reporting tracking sales trends and helping with forecasting and ordering.

 

Whiteside says: “Switching to Square has saved us £10,000 a year in processing fees and £15,000 in hardware costs.”

 

Toast Sports Bar aces rostering with Tabology

 

Leeds sports bar Toast has been using Tabology’s hospitality EPoS and management suite since July 2025. Staff scheduling sits alongside live EPoS sales data, allowing the team to roster more accurately around demand.

 

Managing director Jacob Georgallis says: “Now that we’re able to target the busy times, we’ve brought our labour percentage down from around 26% to 23.9%. Across a year, that’s a huge saving.”

 

The integrated platform has also transformed QR mobile ordering. Georgallis adds: “Because it’s part of the EPoS, updating products and prices takes seconds. Previously, our mobile ordering was done through a separate app. It’s much easier for the team now.”

 

Revo Kitchen & Terrace cuts card terminal costs using Clover

 

Clover’s single connected system has improved speed of service and simplified daily operations for Revo Kitchen & Terrace on Weston-Super-Mare’s seafront. The business previously relied on separate systems for orders, payments and day-to-day operations. 

 

Annual PoS and card terminal costs have been reduced by 10%, and in April 2025 Revo achieved a 30% increase in takings while operating with two fewer team members than usual.

 

Managing director Alex Michael says: “With Clover’s end-to-end solutions, we’ve seen significant efficiency savings and an improvement in our speed of service, even during our busiest periods.”

Roomzzz Aparthotels boosts payment automation with RMS

 

Deploying an RMS property management system at Roomzzz Apartments has increased automated payments from 10% to 40%. The system now automatically sends a secure Pay by Link seven days before the stay, takes the payment and reconciles it against the booking.

 

This has removed repetitive administration and lowered the risk of human error. It has also given more responsibility back to individual properties, rather than relying on centralised processes.

 

The result has been a smoother pre-arrival journey, faster internal workflows and more time for the Roomzzz teams to focus on service.

 

Great Food at Leeds University benefits from Lolly’s loyalty

The University of Leeds’ retail brand Great Food at Leeds (GFaL) generates more than £4m in annual turnover across 12 café outlets, which serve 50,000 students and staff.

 

In February 2024, GFaL partnered with Lolly to launch GFaL Rewards, a digital loyalty platform that has achieved 22,000 downloads. A hot drink subscription model (five barista drinks per week) is forecast to reach £40,000 annually.

 

Total café revenue has risen by £133,000 year-on-year (+15%), demonstrating overall increased visit frequency and spend. Owen Maginnis of GFaL, says: “In a city where students have so much choice, it was important for us to offer something that genuinely competes with the high street.”

 

Hope Street hotel simplifies spa booking with Journey

 

Hope Street hotel spa in Liverpool adopted Journey to give guests a simpler way to book spa experiences online as part of their wider stay.

 

The impact has been significant. Hope Street has reported a 140% increase in spa revenue since 2023, while online booking has reduced pressure on the spa team by cutting down calls and manual administration. Guests entering their own booking details has also improved accuracy.

 

By moving spa bookings from telephone-led processes to online booking and payment, Hope Street has made the guest journey more convenient while giving its teams more time to focus on the face-to-face guest experience.

 

Sandeman Quarter tips Troncbox for data success

Managing tronc fairly and consistently can be complex and time-consuming. Sandeman Quarter, a restaurant and bar in the City of London, found that integrating its Tevalis EPoS with tronc software Troncbox creates a seamless flow of data, increasing transparency for both operators and employees.

 

Troncbox founder Peter Davies says: “Operators should seek to connect their tronc software directly to EPoS systems, rota platforms like Deputy, and customer feedback platforms such as Sunday. That way, they’ll have more than accurate service charge data but also attendance, hours-worked information, length of service, holiday and sick hours, to ensure tronc distributions are calculated fairly and in line with their agreed tipping policy.”

Laine Pub Company speeds up with Access Hospitality

 

Laine Pub Company was already working with Access Hospitality through DesignMyNight for reservations, but extended the partnership to bring in Access Hospitality’s EPoS platform across 55 venues.

 

The system was first trialled at the 2025 Brighton Spiegeltent event, where Laine processed £1.5m in sales with a discrepancy of just 15p, says Access, and cashing up took 15 minutes instead of a two-hour manual process.

 

Integrated with the Access CRM, the EPoS delivers real-time sales data, enabling more targeted marketing and better informed decisions. Since implementation, conversion rates have climbed by 58%, recovering £75,000 per year in lost bookings, according to Access Hospitality.

 

Gonzo’s Tea Room zooms in on sales data with Epos Now

 

Gonzo’s Tea Room in Norwich uses Epos Now to run a four-floor venue, incorporating downloads like the multi-site manager app, gratuity, loyalty, price scheduling and even a CCTV integration.

 

The Epos Now system allows Gonzo’s to separate out each bar, compare reports and know what’s selling well. Owner Mike Baxter says: “Being able to closely monitor sales and individual transactions is really helpful in this market.”

 

In addition to sales, card payments and data collection, the Gonzo’s team uses it for stock management, tab and table management, and helping with the commission side of payroll to reward staff.
